Service delivery: To respond to inspection requests, schedule assessments, communicate about service engagements, and fulfill our contractual obligations to clients

Imperial Guard does not sell personal information. We share information only in the following limited circumstances:

Service providers: Scheduling software, email delivery systems, and accounting systems that process data on our behalf under data processing agreements, solely to support our operations
Regulatory requirements: SC Department of Pesticide Regulation and other applicable regulatory bodies as required for licensed pest control operations
Legal requirements: As required by court order, subpoena, or applicable law
Business succession: In the event of a sale or transfer of the firm, subject to equivalent privacy protections for client data

V. Cookies

We use two categories of cookies: strictly necessary cookies required for website function, and optional analytical cookies that help us understand site usage in aggregate. Our cookie consent banner allows you to accept or decline optional analytical cookies. Declining optional cookies does not affect your ability to submit inspection requests or contact forms.

We do not use advertising cookies, tracking pixels, or third-party marketing cookies of any kind.

VI. Client Service Records

Service records — including inspection reports, treatment documentation, warranty records, and correspondence related to completed engagements — are retained for seven years following the conclusion of the service relationship, in accordance with South Carolina regulatory requirements for licensed pest control operators. Clients may request copies of their service records at any time by writing to our office.

VII. Data Retention

Website enquiry and inspection request data (non-clients): retained 18 months, then deleted
Active client service records: retained for the duration of the service relationship plus seven years
Marketing communications opt-in data: retained until unsubscription, deleted within 14 days of request
Website analytics: aggregate only; individual session data not retained beyond 30 days

VIII. Your Rights

You have the right to access, correct, delete, or receive a portable copy of personal data we hold about you. South Carolina residents have rights under the South Carolina Consumer Protection Code and applicable state law. California residents have rights under the California Consumer Privacy Act (CCPA/CPRA). To exercise any of these rights, contact us at enquiries@imperialguardsc.com. We respond to verified requests within 45 days.

Note: Where retention of service records is required by SC pesticide regulations, we are unable to delete those records until the minimum retention period has elapsed. We will inform you of any such constraint when processing a deletion request.

IX. Security

We maintain industry-standard technical and organisational security measures commensurate with the nature of the data we process, including HTTPS encryption, access controls, and periodic security review. No internet transmission is entirely secure. We cannot guarantee absolute security but are committed to appropriate protection of the data entrusted to us.

X. Children

Our website and services are not directed at persons under 18. We do not knowingly collect personal information from minors. If you believe we have inadvertently collected information from a person under 18, please contact us immediately for prompt deletion.

XI. Changes to This Policy

We may revise this Privacy Policy periodically. Material changes will be noted with an updated effective date at the head of this document. We will notify active clients of significant changes via email where possible. Continued use of our website or services after changes are posted constitutes acceptance of the revised policy.
